Prepare a traditional reserve study

Start with the component inventory and the scope of the study before comparing professional fees.

Approved planning context

Traditional reserve study

$8,500 to $10,000

USD per study engagement; building/association basis unconfirmed

Indicative Northwest Florida planning guidance; scope confirmation required. Not a measured market distribution, a quote or a locally observed county or ZIP price. Actual fees may fall outside the interval.

Scope drivers: Component inventory; Initial study or update; Site visit; Buildings and common areas covered.

Confirm inclusions and exclusions in writing. Expanded assessment-to-repair work remains unpriced.

Define the study requested

An initial study, an update with a site visit and a desktop update can require different work. Ask the provider to identify the study level, inspection approach and assumptions in the written proposal. The released interval does not establish a verified level or standard building size.

Questions to carry forward

  • Which buildings, common areas and components are included?
  • Is the component inventory created, verified or supplied by the association?
  • Is a site visit included, and what information is accepted without inspection?

Prepare the working information

Gather the prior report and component schedule, available drawings, known replacements, maintenance records and current reserve balances. Note what is missing rather than treating a missing document as proof that work was never performed. Keep property-identifying records in the association’s own approved systems.

Questions to carry forward

  • What has changed since the last study?
  • Which components or buildings need further confirmation?
  • Who will verify quantities and access assumptions?

Compare report and funding deliverables

Ask how the report documents component quantities, condition assumptions, remaining useful lives and replacement-cost assumptions. Confirm the funding schedule, scenarios, presentation and questions included. Reserve contributions and repair construction are separate from the professional study fee.

Questions to carry forward

  • Does the proposal include the full report and funding schedule?
  • How will uncertainties and exclusions appear?
  • Are meetings, revisions or extra visits separately priced?

Resolve travel, occupied access and repeat visits

Before comparing professional fees, ask how site travel, occupied-unit access, common-area access and return visits are handled. Keep owner names, precise addresses, access codes and schedules in the association’s authorized systems; this public tool needs none of them. These are scope questions, not new collected fields or priced add-ons.

Questions to carry forward

  • Is travel included, separately charged or limited to a stated service area?
  • Who arranges occupied-unit access and what happens when a location is unavailable?
  • Are lift/scaffold access, weather delays, repeat visits and reinspection included?
  • Which inaccessible elements and assumptions will appear in the report?
